Terms Of Use

Conditions of Hiring Church Premises at St Columba's United Reformed Church, Oxford

NOTE: Please make sure you save a copy of these Terms & Conditions. They form part of your contract with us.


1. St Columba's: St Columba's United Reformed Church, Alfred Street, Oxford, Oxfordshire, OX1 4EH; and

2. The Hirer: The person or organisation using the church premises.

Terms of use

1. Security

The only entrance to be used is through the wooden side-door on to Alfred Street (except in the case of emergency or an advance agreement with the Church Administrator). Any external door used must be kept locked at all times or personed to admit or allow people to leave or enter. This agreement does not provide for access to any other part of the premises than that requested on the application form, except the toilet facilities.

2. Keys

When applicable a £20 deposit is required for the temporary use of a St Columba's key. This key is the property of St Columba's and must not be duplicated. If lost, a £20 replacement fee is due from the Hirer.

3. Damage

The Hirer will indemnify St Columba's against the cost of repairing any damage caused to any part of the St Columba's premises whilst the same are being used by the Hirer, and due to the Hirer's negligence.

4. Insurance

  • The Hirer is responsible for insuring all property of the Hirer whilst it is on St Columba's premises.
  • The Hirer will indemnify St Columba's against any liability to the general public arising out of its use of St Columba's premises and will insure against this risk.
  • The Hirer will insure against the risk of damage mentioned in paragraph 3 ('Damage').
  • The Hirer will be responsible for securing all licences and permits required lawfully to use the premises for the purposes intended and will indemnify St Columba's in respect of any failure to do so.
  • The Hirer, if using a third party during their hire (such as a catering company), will check that their third party has appropriate insurance for the activity in question, and will supply St Columba's with a copy of the third party's schedule.

5. Cleanliness

The Hirer is responsible for leaving any of the facilities used in a clean and tidy state.

6. Sale of Goods

Goods shall not be sold on St Columba's premises.


7. Alcohol and Entertainment Licensing

St Columba's is not licensed for the serving of alcohol or for regulated forms of entertainment. If you wish to serve alcohol at an event you are holding in our building, or provide regulated entertainment, you must comply with the law on licensing. This will often be as simple as submitting a Temporary Event Notice, but it is your responsibility to do this and to check with the City Council if in any doubt as to your position. Please also note that St Columba's reserves the right to withhold permission for alcohol or regulated entertainment to be used on our premises.

8. Safeguarding (child protection)

St Columba's takes the protection of children on our premises seriously. All Hirers that bring children under 18 years of age into the building must have a safeguarding policy. NOTE: St Columba's does not need to see the policy, but requires the Hirer to assure us that they have one.

9. Termination

The hiring agreement may be terminated immediately in the event of a breach of any one of these conditions, or any of the conditions set out in 'Notes for Hirers' (normally sent upon confirmation of booking).

Note on Data Protection

Our form pages are hosted by Google. Information you submit via the forms will be held on Google servers and not our own. They will also be transmitted to, and held by, us as a record of your request. We will only hold your data for purposes related to your booking, or future booking with us, and no other purpose. We will not disclose your data to any third party without your consent.
